Finance and budgeting

The Treasurer oversees all financial matters. All expenditure must be approved and recorded transparently.

Budgeting

  • Budget approved by committee annually (typically November)
  • Proposed by Treasurer, reviewed by committee
  • Covers anticipated income and planned expenditure
  • Budget variances of more than 10% require committee approval

Spending approval

  • Expenditure under $500: Treasurer discretion (log all spending)
  • Expenditure $500–$2,000: Treasurer and Chair approval
  • Expenditure over $2,000: Committee vote required
  • All spending must be budgeted or pre-approved
  • Receipts and invoices retained for 7 years

Financial reporting

  • Monthly: Treasurer reports spending to committee
  • Quarterly: Financial summary circulated to committee
  • Annual: Full financial statements prepared and audited (if required by law)
  • AGM: Financial statements presented to membership for approval
  • Tax: GST returns and tax filings completed as required

Payments

BPNZ accepts both Bitcoin and fiat payments. Spending strategy:

  • Use debit card for fiat-denominated purchases
  • Pay with Bitcoin wherever Bitcoin is accepted
  • This positions BPNZ as a showcase organisation demonstrating Bitcoin as money, not speculative asset
